Terms and Conditions

Welcome to The Postal Collective. By placing a booking or renting a garment from us, you confirm that you have read and agree to these Terms & Conditions.

These terms apply to all rentals, including postal and pick-up rentals.

Bookings

A rental booking is confirmed once payment has been received and the booking has been accepted by The Postal Collective.

The person making the booking is responsible for providing accurate information, including their name, contact details, delivery address and rental dates.

Please check your booking details carefully before completing payment. We are not responsible for issues caused by incorrect or incomplete information provided by the customer.

We may contact you if we need to confirm information relating to your booking.

We reserve the right to decline a booking where there is a reasonable business or safety reason to do so.

Rental Period

Your rental is for the dates selected at the time of booking.

The garment must be returned by the agreed return date, regardless of whether the garment was worn for the full rental period.

Keeping the garment beyond the agreed return date without prior approval may result in late fees and other applicable charges.

Shipping

Postal rentals are $15 nationwide using NZ Post courier shipping.

We aim to dispatch weekend rentals by Wednesday at the latest.

Once your rental has been dispatched, tracking information will be provided via Instagram or email.

We recommend booking early to allow enough time for delivery.

Once a parcel has been handed to the courier, delivery times are outside of our direct control. We cannot guarantee delivery times where delays are caused by the courier or other circumstances outside our reasonable control.

Postal Order Cut-Off

Postal orders must be placed by 2pm Wednesday to guarantee dispatch for weekend rentals.

Orders placed after this time are made at the customer's own risk and we cannot guarantee that the garment will arrive in time for the rental.

If express or Saturday delivery is required due to a late booking, additional postage costs may apply.

Delivery Address

Customers are responsible for providing a complete and accurate delivery address.

We are not responsible for delays, failed deliveries or additional courier charges resulting from an incorrect or incomplete address provided by the customer.

If you realise that your address is incorrect, please contact us as soon as possible.

Returning Your Rental

Weekend rentals must be returned on the next business day, which is Monday for weekend rentals.

The garment must be returned using the return bag and label provided by The Postal Collective.

If you have lost your return label or bag, please contact us before returning the garment.

The renter is responsible for the garment until it has been successfully returned or lodged with the approved return courier.

We recommend keeping your tracking information until we have received the garment.

Late Returns

A $20 per day late fee applies to garments returned after the agreed return date.

Late returns can affect other customers' bookings, so it is important that garments are returned on time.

Continued failure to return a garment may result in further charges, recovery action and restriction from future bookings.

Lost, Stolen or Non-Returned Garments

The renter is responsible for the garment throughout the rental period.

If a garment is lost, stolen or cannot be returned, the renter may be charged the full retail or replacement cost of the garment, in addition to any applicable late fees or other reasonable costs resulting from the incident.

If a garment is not returned within a reasonable timeframe, we may take steps to recover the garment or amounts owing.

Care of Garments

Please treat your rental with care.

Garments must not be washed or dry cleaned by the customer.

Garments must not be altered, hemmed, pinned, taped or otherwise modified.

Customers must not attempt to repair damage themselves without our approval.

Please return the garment as-is and we will arrange the appropriate cleaning.

The renter is responsible for damage or staining that occurs during their rental period beyond normal wear and tear.

Damage & Repairs

Every garment is inspected before being sent out and after it is returned.

Customers are responsible for damage beyond normal wear and tear.

If a garment is returned damaged, we will assess the condition and determine whether cleaning, repair or replacement is required.

If a garment can no longer be reasonably repaired or returned to a rentable condition, the renter may be responsible for the full retail or replacement cost.

Where damage affects a confirmed future booking, the renter may also be responsible for reasonable resulting losses where permitted by law.

Existing Damage & Issues on Arrival

Our garments are inspected before every rental.

If you notice an issue with your garment when it arrives, please contact us via Instagram within 5 hours of delivery and before wearing the garment.

Please provide clear photographs of the issue so we can properly assess it.

Issues raised after the garment has been worn or outside the required timeframe may be difficult to determine and may not be eligible for a resolution.

Rental Condition

Our garments are pre-loved rental pieces and may have minor signs of normal rental wear.

This may include subtle fabric changes, small imperfections or other signs of previous use that do not affect the overall appearance or wearability of the garment.

We carefully inspect and prepare each garment before every rental.

Fit & Sizing

We are happy to provide measurements and sizing guidance where possible.

However, every garment fits differently and we cannot guarantee that a garment will fit as expected.

Customers are responsible for checking the measurements provided and selecting the appropriate size.

Bookings are not refundable because a garment does not fit.

If you are unsure about sizing, please contact us before booking.

Cancellations & Unused Rentals

Once a booking has been confirmed, the rental period and price are fixed.

We do not offer refunds, credits or partial refunds where the customer changes their mind, plans change, an event is cancelled, the garment is no longer needed, the garment is not worn or the garment is returned early.

The rental is for the dates reserved rather than the amount of time the garment is actually worn.

Swaps & Changes

If you would like to swap your rental for another garment, please contact us as soon as possible.

Swaps are subject to availability and cannot always be accommodated.

Swaps should be arranged before the rental has been dispatched where possible.

If the replacement garment has a different rental price, the difference will be charged or credited accordingly.

Renter Policy

Garments are rented for use by the person named on the booking only.

The garment must not be worn by another person without our approval.

The renter remains responsible for the garment even when it is not being worn.

Try-Ons

We currently offer pick-up try-ons only.

Try-ons are subject to availability and cost $15.

The $15 try-on fee can be redeemed against a rental booking made within 24 hours of the try-on.

Please contact us via Instagram to arrange a try-on.

Product Images

We do our best to represent our garments as accurately as possible.

Slight differences in colour or appearance may occur due to lighting, photography and individual screen settings.

Records & Evidence

We may photograph or record the condition of garments before dispatch and after they are returned.

Where relevant, we may retain photographs, videos, messages, booking information, courier tracking, invoices, repair or cleaning assessments and other records relating to a rental.

These records may be used when assessing damage, loss, late returns, disputes, unpaid amounts or other rental-related issues.

Payments & Outstanding Amounts

All rental, postage, damage, late return and other applicable charges must be paid when required.

If an amount remains unpaid, we may contact the renter to arrange payment or issue an invoice.

Where reasonably necessary, we may take further steps to recover unpaid amounts, including using a debt collection service or legal process where permitted by law.

Any recovery costs claimed will be limited to those reasonably permitted by law.

Customer Conduct

We expect customers to communicate respectfully and honestly with The Postal Collective.

We may restrict or decline future bookings where there are reasonable grounds to do so, including significant damage or non-return of garments, unpaid amounts, repeated breaches of these Terms & Conditions, misleading booking information, suspected fraudulent activity or behaviour that creates a significant risk to our rental stock or business.

Future Bookings

Where there are reasonable grounds to do so, we may restrict or decline future bookings.

Any decision will be based on the circumstances and information reasonably available to us.

Examples may include previous non-return of a garment, significant damage, unpaid amounts, repeated breaches of our terms, misleading information or suspected fraudulent activity.

Rental Incidents & Information Sharing

We may keep records relating to significant rental incidents, including damage, loss, theft, non-return, misuse, unpaid rental-related amounts, misleading information or suspected fraudulent activity.

Where reasonably necessary and legally permitted, relevant information may be shared with legitimate rental businesses for purposes including protecting rental property, preventing fraud and helping prevent further loss or damage.

Any information shared will be limited to information reasonably relevant to the incident.

We will take reasonable steps to ensure information shared is accurate and supported by our records or other available evidence.

This does not give The Postal Collective an unrestricted right to publicly publish or disclose customer information.

Information will only be disclosed where there is a legitimate purpose for doing so and where permitted by applicable New Zealand law.

Customers may contact us to request access to or correction of personal information we hold about them, subject to the Privacy Act 2020 and any applicable exceptions.

Damage Waiver

An optional $15 Damage Waiver is available for each rental.

The Damage Waiver provides protection for genuine accidental damage up to a maximum of $100 per rental.

The Damage Waiver is intended for genuine accidents, such as a minor accidental tear, rip or other damage that can reasonably be repaired.

Purchasing the Damage Waiver does not remove the requirement to take reasonable care of the garment.

What the Damage Waiver Covers

The Damage Waiver covers genuine accidental damage that occurs during the rental period and can reasonably be repaired.

The maximum amount covered is $100 per rental.

The Damage Waiver does not guarantee that all damage will be covered. Damage will be assessed against the circumstances and the exclusions set out below.

What the Damage Waiver Does Not Cover

The Damage Waiver does not cover:

Loss or theft of the garment.

Intentional damage.

Damage caused by reckless behaviour or misuse.

Damage caused by failure to take reasonable care.

Damage resulting from alterations or unauthorised repairs.

Damage that makes the garment unrepairable.

Damage that prevents the garment from being returned to a rentable condition.

Repair or replacement costs above the $100 coverage limit.

The full replacement cost of a garment damaged beyond repair.

Late return fees or other rental charges.

Damage Over $100

The Damage Waiver covers accidental damage up to $100 only.

If the cost of repairing accidental damage exceeds $100, the renter is responsible for the amount above the $100 waiver limit.

If the garment is damaged beyond reasonable repair, the Damage Waiver does not cover the replacement cost.

Damage Waiver Refunds

The $15 Damage Waiver is non-refundable once purchased.

This applies even if the rental is cancelled, the garment is not worn, the garment is returned without damage, no damage occurs or the customer changes their mind about purchasing the waiver.

The Damage Waiver is an optional protection for the rental and is not a refundable deposit.

Damage Assessment

If damage occurs, The Postal Collective will assess the condition of the garment after it is returned.

We may consider photographs taken before and after the rental, the condition of the garment, messages between the customer and The Postal Collective, repair or cleaning assessments and any other relevant information available to us.

We will assess whether damage qualifies under the Damage Waiver based on the circumstances, available evidence and the terms of the waiver.

Age & Bookings Made for Others

Customers must be legally able to enter into a rental agreement.

If a booking is made on behalf of another person, the person making the booking is responsible for ensuring that the renter understands and agrees to these Terms & Conditions.

Lost or Delayed Courier Parcels

Once a parcel has been handed to the courier, delivery times and delays are outside of The Postal Collective's direct control.

If a parcel is delayed or appears to be lost, we will assist with tracking and, where appropriate, raise an enquiry with the courier.

We will do our best to assist customers affected by courier delays, but we cannot guarantee a particular delivery timeframe where the delay is outside our reasonable control.

Circumstances Outside Our Control

We will always do our best to fulfil confirmed bookings.

However, we cannot be held responsible for delays or failures caused by circumstances outside our reasonable control, including significant courier disruptions, natural disasters, extreme weather, strikes, government restrictions or other unforeseen events.

Where this happens, we will communicate with the customer and work with them to find a reasonable solution where possible.

Questions, Complaints & Disputes

If you have a concern about your rental, please contact us as soon as possible so we have the opportunity to look into the issue.

We may ask for photographs, messages, tracking information or other relevant evidence to help us understand what happened.

We will consider the circumstances and available information before determining what resolution is appropriate.

Nothing in these Terms & Conditions is intended to remove any rights you have under applicable New Zealand law.

Consumer Rights

Nothing in these Terms & Conditions is intended to exclude, restrict or limit any rights you may have under the Consumer Guarantees Act 1993 or any other applicable New Zealand law.

Where a term of these Terms & Conditions conflicts with a legal right that cannot lawfully be excluded or limited, that legal right will apply.

Changes to These Terms

We may update these Terms & Conditions from time to time.

The Terms & Conditions applying to your rental are those in effect at the time your booking is made, unless a change is required by law.
